A preventive maintenance program that calls the same rooftop unit RTU-2 in one store and front roof AC in another cannot be managed. Completion rates, parts history, and filter sizes will not line up. Multi-site PM starts with the same asset names at every location, then the calendar.

Pick a naming pattern and freeze it
Store number, unit type, and a stable tag beat creative nicknames. RTU-1, WH-1, and LP-1 can work if every site uses them the same way. Changing names every time a manager turns over is how history dies. Write the pattern once. Train it. Put it on the unit.

PM tasks have to match the named asset
A filter size attached to the wrong unit name is a missed PM that looks complete in the spreadsheet. Coil cleaning, belt notes, and electrical readings should land on the same tag the technician sees on the roof. Access still controls whether that PM happens in the posted window: rooftop access can control the real service window.
Plumbing and electrical PM lines need the same names. Restroom groups, water heaters, and panels should not be called by room color in one state and by fixture count in another. Compare sites only after the names match
Once tags match, you can compare repeat failures, missed visits, and parts. Before that, you are comparing stories. A schedule that looks full can still skip the unit that fails every summer because it was listed under a retired nickname.
Closeout should use the frozen name, photos, and readings. Documentation and closeout is part of PM, not a favor after the truck leaves. Multi-trade visits should not invent a fourth name for the same asset: multi-trade coordination. Light electrical work on named panels sits under light electrical.
