We still open portfolios where one Florida site writes RTU-2 and a South Carolina site writes big roof unit. The PM spreadsheet then looks like two different fleets. It is the same packaged unit. HVAC names sit with rooftop units and split systems. Plumbing fixtures should not be called by restroom paint color in one state and by fixture count in another. Restroom grouping is in group restroom repairs by failure pattern.
Write the dictionary once, then train the ticket
Pick the fields: site number, asset type, location code, manufacturer, and a serial if you have it. National brand and regional multi-site accounts need that list in the CMMS, not in a manager's memory. If one tech writes Sloan and another writes flush valve, the pattern disappears.
Leak response still needs a named first shutoff: name the first shutoff. Preventive rhythm lives under preventive maintenance.
